Development/Marketing Assistant

Overview of the Position

As the Development/Marketing Assistant, you are an enthusiastic and collaborative communicator and enjoy working as part of a small team. You’ll report to Citizen Diplomacy’s Vice President and the President of the Consular Corps Association of Philadelphia to support membership management and communications.

Key Responsibilities

  • Work with the Vice President and Virtual Program and Marketing Manager to organize, implement procedures, track, and schedule development systems in support of membership growth, donor stewardship and marketing plan.
  • Development Systems: Enter gifts, track actions, data entry of donor research, event registration and address records in DonorPerfect and LGL databases. Manage multiple mailing lists in iContact/Constant Contact email CRMs.
  • Membership Management: Draft and export weekly gift acknowledgements, thank you letters, invoices. Prepare and mail monthly member renewals, and appeals. Call and correspond with donors to thank them for their gifts or update them on ongoing projects.
  • Donor Stewardship: Use your imagination to design digital experiences and tangible items to give our members communications full of delight! Write and design direct mail and digital bi-monthly newsletters to members and other stakeholders explaining how their funds will be used and how the community will benefit.
  • Marketing: Create content published across the website, social media, and print media. Build and schedule emails. Import and export mailing lists.
  • Provide administrative support to the president of the CCCAP, respond to member inquiries for information; maintain electronic and paper files related to member services and development; Prepare financial reports and membership directories.
  • When we return to in-person events, support monthly receptions for international guests, volunteer training, annual fundraising events, and occasional cultivation events, as well as other programs, including logistics, registration and evaluation.

Qualifications & Skills

  • 2-3 years of experience in international relations, marketing, development or nonprofit administration is preferred.
  •  A commitment to Citizen Diplomacy’s mission of connecting Philadelphia to the world and our values of inclusivity and integrity
  • Strong organizational skills that show an ability to be well organized, structured, and who enjoys systems ato perform and prioritize multiple tasks
  • Excellent written and verbal communication skills with excellent attention to detail.
  • Familiarity with mail merge processes, LGL, Donorperfect or other databases, email marketing platforms, drag-and-drop web pages, digital image management, social media platforms are preferred.
  • Resourceful team-player, with the ability to also work independently and sometimes with minimal guidance
  • A positive attitude, willingness to learn, and the ability to pick up new skills quickly is more important than professional experience.
  • The ability to work occasional evenings. Pre-Covid, we hosted monthly networking events and other programs, which are often held in the evening. The ability to stand for extended periods of time and carry up to 30lb of special event materials is also necessary.

Compensation and benefits

  • Salary is $33,000-$37,500 annually, compensated hourly as a full-time, non-exempt position, working between 35-40 hours a week. Overtime may occasionally be required and will be paid at time and a half.
  • 15 days PTO, 11 paid holidays
  • We provide medical (HMO), dental and vision insurance, a commuter benefits program and a 403b retirement plan.

All staff at Citizen Diplomacy International will be working remotely until September 1, 2021 . The requirement to be present in the office will be evaluated on an ongoing basis, as our work needs change, and will be based on health and safety guidance from local authorities.

Our Hiring Process and Timeline

Our process is as follows:

  • We will begin scheduling short phone interviews immediately.
  • Following a successful phone interview, one-hour Zoom interviews will be scheduled and we may ask for additional work samples relevant to this position. This could include a writing sample, an overview of a project, or other relevant materials.
  • Finalists will be invited to a second round of interviews that will include all staff. We will make an offer shortly thereafter.
